Position Summary:

The overall responsibility includes all receptionist, clerical and catering administrative duties., completed at the desk of the office in Sheffield, MA for an established catering company/cafe. As the front-line employee, the role is extremely important for maintaining customer experience and satisfaction.

Essential Duties and Responsibilities:

Management of Front office:

  • Organization of all files & file cabinets
  • Monitor and maintain office supplies
  • Monthly maintenance of office equipment
  • Answer and respond to customer telephone and e-mail requests
  • Prepare and manage outgoing and incoming mail
  • Communication of orders within the organization/locations
  • Renew Permits & Licenses
  • Prepare weekly timecards for Headquarter and Store employees
  • Mail weekly vendor checks
  • Daily Post Office visits
  • Schedule meetings and appointments
  • Assist in “On Boarding” process for new hires

Catering- Off Premise:

  • Intake of customer inquiries
  • Organization, coordination and communication of customer file to include:
    • Menus and menu update
    • Itinerary
    • Pricing
    • Labor sheets
    • Rentals
    • Directions
    • Pictures
    • 3 Ring Folder for Day of Event
    • Prep Sheets
    • Dry Goods Sheets
    • Road Maps for day of Event
    • Final Counts
    • Deposits, Confirmation, final billing & follow up
    • Thank you
    • Employee Time Sheets (payroll)
    • Travel Directions
  • Enter customer information/billing into Quickbooks

Catering- Carry Out Menu:

  • Sales
  • Prepare Order Sheets
  • Disburse Orders to all departments involved including pick up location
  • Put together and paper goods, plastic ware and serving utensils
  • Charge customer if not paid at pick up

Banking and Accounting:

  • Prepare deposits for Bank
  • Record Deposits in Quickbooks
  • Cross off Deposits in daily Logbook
  • Record Catering Deposits for future events in Logbook

Qualifications and Skills:

  • Three to five years of work experience in administrative and office management
  • Proficiency in Quickbooks, Microsoft Outlook, Excel, and Word
  • Attention to detail and problem-solving skills
  • Hands on experience with office machines (i.e., fax machine, computers, and printers)
  • Strong organization and planning skills in fast paced environment
  • Personable and customer focused
